APPLICATION REVIEW (JURY) PROCESS:
v Vendors who participated in a prior Flute Quest Festival will not be assessed a jury fee.
v New vendors must submit a $35.00 jury fee along with their application. A panel jury will independently review the application and vendor submittal for quality, originality, diversity, and booth presentation.
v Each applicant must provide three quality photographs of their work and one photo of their booth set up. Exhibitors are expected to display and sell work of the same quality as that was submitted for screening. Your acceptance will be based on the work you apply with. We are primarily looking for artists and craftspeople with a Native Peoples theme. Typical items that FQ looks for are flutes, drums, rattles, recorded music, and related items including clothing, ceramics, jewelry, fine arts and flute related crafts.
v All items submitted must be the artists’ original designs/craftsmanship, work of another artist being sold with their consent, music, CDs, DVDs and books related to Native American style flute. Mass produced, imported type items are not permitted.
v Booths will be inspected to assure that the work described in the application is the work shown.
v Requests to share a booth must be approved by the committee. Vendors wishing to share a booth must each submit individual applications with individual $35 application fees (if new). However, only one booth fee will be charged. A shared booth will be considered to be a single booth when, in the judgment of the Flute Quest organizers, it has a common ingress and egress and is designed as a unified presentation of wares. It will be considered as separate booths and charged separately to the individual vendors if it is, in the judgment of the Flute Quest organizers, essentially two booth setups, with no commonalities shared between them. If upon setup, the vendor coordinator determines this criteria is not met, vendors will be required to rearrange their booth prior to the event opening or pay difference in fee for 2 booths.
v Vendors & booth helpers must check in at the organizers booth prior to setting up to receive booth location, name badges, and rear-view mirror hangers to be displayed in all vehicles. All booth participants must wear names badges throughout the weekend as required by Saltwater State Park.
v Vendor set up time begins at 7am Friday August 20, 2010. Thursday after 7pm may be arranged.
v Vendors are responsible for providing their booth, tables, chairs, and canopy. The organizers will supply contact information for rental of booth canopies and tables and chairs, upon request. Artists are solely responsible for any resulting arrangements and fees.
v Booths must be designed to withstand wind and inclement weather. The site of the festival is located on the Puget Sound waterfront and may experience gusty winds. Artists should anchor their booths accordingly to prevent injury to themselves or others.
v Vendors are responsible for construction and tearing down of their exhibits. The information packet will contain specific teardown instructions.
v Neither Saltwater State Park nor the organizers are responsible for any loss or damage. Artists are solely responsible for securing the contents of their booth. Security will be patrolling the grounds; however it is recommended that valuable items be removed overnight. Vendors will hold harmless the Festival and it promoters of any liability. Vendors are encouraged to carry their own property or business loss insurance.
v Each vendor is required to donate an item to our silent auction/raffle.
v Cancellations must be received in writing no later than July 31, 2010 in order to receive a 100% refund.
v Any checks that are submitted NSF will have bank fees assessed.
v A business license and UBI (Unified Business Identifier) may be required by WA State. Information is available at http://www.dol.wa.gov/business/faqlicense.html or call
800-647-7706.
v Booths must be open during all event operating hours: 10am – 5pm on Friday, 10am – 5pm on Saturday, and 10am – 3pm on Sun and closed for business at all other times. Teardown prior to 3pm Sunday is not permitted.
v At the conclusion of the event, an award will go to the best booth presentation as chosen by the public.
v Make all checks payable to Washington Flute Circle. Applications may be filled out online and emailed to the Vendor Coordinator, Rick Barney at vendor@waflutecircle.com along with your photos. Or application and photos may be mailed with payments to the following address:
